FULL PLANNING & DESIGN
At Shannon Rose Events, we strive to make the planning process simple and efficient for each couple as well as their families. As a result, each couple follows our signature process that allows you to make decisions easily, while also enjoying your engagement.
We break it down into 5 simple phases, and customize the timing of each to fit your planning schedule. The last phase is typically completed two months prior to your wedding date, to assure you can enjoy all the events leading up to the wedding and find time to relax before the big day.
Services Include
8 Planning Meetings
Unlimited phone calls and emails upon booking
Personalized wedding budget formed after the completion of a questionnaire that helps us better understand what your expectations are and what you are looking for with each vendor. This also includes a budget meeting where we discuss multiple options and we explain each cost so you can better understand why we estimated certain amounts for each vendor.
Recommended vendor list
Assistance with booking venue(s)—or confirming if your own home is a feasible option—and attendance at venue walk-through(s).
Scheduling of and attendance at ALL vendor meetings
Floor plan creation and management. I will create multiple to-scale floor plan options for you to choose from. Once a floor plan is selected, I will update it 1month prior to the wedding based on the final guest count.
Review of all vendor contracts
Access to a client portal. This includes but is not limited to customized planning forms, contact lists, an interactive guest list, seating chart forms, a wedding website, etc.
Customized “month to month” checklist
Event Design
Design questionnaire to determine overall style, personal taste, and hobbies.
Color scheme creation. We will provide at least two unique options based on your responses to the design questionnaire.
1-hour pre-design meeting. At this meeting we will look through any images you have saved and inspiration you are drawn to. This helps us get a better idea of why you responded to certain images and what elements you are drawn to. This is when your color scheme is selected.
2-Hour Design Meeting
Design board. This board demonstrates the overall look and key design elements of your wedding
Mini design boards. We provide 10 mini boards to encompass smaller design elements such as stationery and wedding party fashions.
Event management meeting (in person or virtually) 3 months prior to the wedding day to discuss timing of processional, music selections, transportation schedules, and more. We will provide a custom to do list after the meeting to assure everything is completed in a timely manner so you can enjoy the month leading up to your wedding day.
Timeline creation and management. We will create a custom timeline based on the items discussed during the event management meeting. We will confirm arrival times with vendors 1 month prior to the wedding, and send the timeline to all the vendors 1 week prior to the event.
Attendance at final venue walk through
Custom setup list to assure everything is discussed and set up as you prefer
Assistance with seating chart and meal preference organization
Management of rental Items. This begins with assisting in the selection of pieces, placing orders, updating the order based on guest count, and quote comparisons.
Guest accommodation and room block proposal management
Transportation management
1-hour final planning meeting (done virtually) 1-2 weeks before the wedding
1-hour ceremony rehearsal
Setup and breakdown of non-floral décor in ceremony and reception areas. Such items include programs, a guest book, a card box, a cake table with serving pieces, your toasting flutes, a seating chart or escort cards, place cards, menus, and exit items.
Meet vendors at venue(s) for their deliveries and set up
Day-of styling for wedding detail such as invitations, vow books, jewelry, and shoes
Event management. Shannon Rose Ducker or a member of the Shannon Rose Events team (which includes 2 associate planners on your wedding day) will oversee the distribution and pinning of boutonnieres and bouquets and line up all parties in the ceremony and provide music and officiant cues. We will supervise and coordinate details throughout the event with all vendors (such as photographers, videographers, entertainment, and catering) and handle all cues (first dance, special dances, speeches, cake cutting, etc.).
Distribution of exit items and supervision of all guests’ departure
Gratuity and final payment distribution to vendors on the wedding day
Supervise event tear-down and ensure all personal items are returned to you.
